ClickUp is a work hub that mixes tasks, docs, chat, whiteboards and dashboards in one app. The Free plan works for trying it out. Most teams end up on Unlimited ($7 per user a month, billed yearly) or Business ($12). The catch is that ClickUp does so much that a messy setup becomes a messy workspace. Structure matters more here than in simpler tools.
I have set up ClickUp for small agencies and for product teams. This guide covers what you get on each plan, the limits that bite, and the setup order that saves you a rebuild later. Prices and limits come from ClickUp’s pricing page, checked in October 2026.

ClickUp’s AI, called Brain, is a separate add-on at $9 per user a month. Free plans get a trial of the AI features.
What each plan is really for
- Free Forever: good for one person or a test. The 60MB storage cap is the real limit. A few PDFs and screenshots will fill it. Guests on Free get full edit rights, and you cannot change that.
- Unlimited: the right start for most small teams. You get unlimited storage, Gantt charts, integrations, custom fields, time tracking and guests with permission controls.
- Business: for teams that live on automations and reports. You get 5,000 automation runs, unlimited dashboards, timeline views, workload views, mind maps and Google SSO.
- Enterprise: for IT and compliance needs. That means SAML SSO, SCIM, audit logs, custom roles, HIPAA options and data residency.
How ClickUp is organized
Everything in ClickUp lives in a hierarchy. Get this right on day one.
- Workspace: the whole company. Most people have just one.
- Space: a department or big area, like Marketing or Clients.
- Folder: a group of related lists, like one client or one product.
- List: where tasks live, like “Website rebuild” or “Q4 campaigns.”
- Task: the work. Tasks can have subtasks and checklists.
Free plans cap you at 5 Spaces, so plan them before you build. Unlimited allows 200 Lists per Space. Business allows 400. That matters for agencies that make one List per client job.
A setup order that works
Step 1: Map your work before you click
Write down your teams, your main projects and the stages work goes through. One page is enough. Teams that skip this end up with 14 Spaces and nobody knows where anything goes.
Step 2: Create Spaces by team, not by project
Make a Space for each team or main area. Projects come and go. Teams stay. Then set the Space’s statuses, such as To do, In progress, Review, Done. Keep it to five or six statuses at most.
Step 3: Add custom fields with care
Custom fields like Priority, Client or Budget make reporting possible. But every field is something people must fill in. Start with three or four. Add more only when a report needs them.
Step 4: Pick two or three views
ClickUp has many views: List, Board, Calendar, Gantt, Table, Timeline, Workload and more. Pick the two or three your team really uses. For most teams that is List for the doer, Board for the stand-up, and Gantt for the manager.
Step 5: Add automations last
Wait until people use the workspace for two weeks. Then automate the steps they repeat. Good first automations:
- When status changes to Review, assign the reviewer.
- When a task is created in a List, apply a template.
- When the due date arrives, post a comment that tags the owner.
Watch your runs. On Unlimited, 1,000 runs a month is about 45 per workday. A busy team can burn through that in two weeks.
Gotchas experienced users warn about
- Storage on Free runs out fast. 60MB is shared by the whole workspace. Link big files from Google Drive instead of uploading them.
- Automation runs count every time. A rule that fires on each status change uses a run each time. Five rules on a busy List add up quickly.
- Speed can drop in big workspaces. Very large Lists with many custom fields load slower. Archive old Lists each quarter.
- Too many notifications. By default, people get pinged a lot. Ask each user to tune notification settings in week one, or they will tune out ClickUp completely.
- Guest rights differ by plan. On Free, guests can edit everything. On paid plans you can limit them. Paid plans also include a set number of free guest seats.
Brain AI: is it worth $9?
Brain adds an AI assistant across tasks, docs and chat. It can write task summaries, draft docs and answer questions about your workspace. It is worth it for managers who read lots of updates. It is less useful for people who mostly tick off their own tasks. My advice: buy it for the few people who write status reports, not for everyone.
Who should choose ClickUp
- Teams that want one tool for tasks, docs and light chat.
- Agencies that need time tracking, client folders and templates.
- Teams willing to spend a week on setup to save time later.
When NOT to choose ClickUp
- You want something simple. If your team only needs a task board, Trello or Asana is calmer and quicker to learn.
- You have no admin. ClickUp needs someone to own the structure. Without one, it sprawls.
- You need strict project scheduling. For heavy dependency planning and baselines, Microsoft Project or Smartsheet is a better fit.
My honest take: ClickUp gives you the most features per dollar in this category. But you pay in setup time. A team that plans the hierarchy and keeps automations lean will like it. A team that just starts clicking will not.

ClickUp says you can keep using the app, and it lets you know when you reach a limit. Features with caps, like automations, stop until the next cycle or an upgrade.
