Home - Asana - Asana Rules 2026: Build Automation That Routes Work Without Babysitting

Asana Rules are trigger → (optional condition) → action automations inside a project or My Tasks. On Starter and higher, Asana’s pricing page lists unlimited rules / automations. The free Personal plan does not give you a full rule builder — you get a single My Tasks preset.

Figures below are from asana.com/pricing and Asana’s workflow automation overview, checked October 13, 2026. Starter is $10.99/user/month billed annually ($13.49 monthly); Advanced is $24.99 ($30.49 monthly).

This rewrite also folds still-accurate guidance from the older automations guide (#3384): plan gates, the “no published monthly run cap” correction, and AI Studio credit boundaries.

Check the plan before you design the workflow

PlanRules / automationsNotes
Personal (free)One My Tasks presetNot a real multi-trigger builder
StarterUnlimited rulesFloor for custom automation
AdvancedUnlimited + Bundles, script actions, branching formsBetter when one process spans many projects
Enterprise / Enterprise++ admin governanceLarge orgs

Asana does not publish a monthly run cap for standard Rules. If an old blog quotes “250 runs/month,” ignore it — that is not on Asana’s pricing page. AI Studio is separate and does use a credit pool (Asana documents pooled monthly credits by tier; AI actions burn credits, ordinary Rules do not).

Build a rule in five minutes

  1. Open the project → Customize (or the automations / Rules entry in the project toolbar).
  2. Add rule → start from a suggested rule or Blank.
  3. Pick a trigger (task added, moved to section, field changed, due date approaching, form submitted, etc.).
  4. Add conditions if needed (custom field equals X, not completed, …).
  5. Add actions (assign, move section, set field, comment, notify Slack, create task, …).
  6. Name the rule after the outcome (“Route P1 bugs to On-call”), not after the trigger.
  7. Turn it on and submit one test task.

From Board view you can often open the same library via the automation control on a column — useful when the rule is “card enters this column.”

Asana Rules building blocks
Trigger, condition, action — keep AI Studio out of high-volume paths. Chart: WorkManagementHub.

Triggers and actions worth using

Triggers: task created, added to this project, moved to a section, custom field changed, due date nearing / past, approval completed, form submission.

Actions: assign / multi-assign, move to section, set custom fields (custom fields guide), add comment, create follow-up task, add to another project, Slack/Teams notification, Google Calendar events on supported plans.

Advanced extras: Bundles package rules + fields + sections for reuse across projects; Script actions run Node against the Asana API when built-in actions stop short.

Five rules that usually pay for Starter

  1. Form intake → triage section + assign on form submit.
  2. P1 priority → Slack channel + due date +2d.
  3. Moved to “In review” → assign reviewer field.
  4. All subtasks complete → move parent to “QA” (where subtask triggers exist for your plan).
  5. Due yesterday + still open → comment @manager (escalation without a meeting).

AI Studio vs ordinary Rules

Use ordinary Rules for deterministic routing. Use AI Studio when the step needs judgment (classify free text, draft a summary). AI Studio Basic is included on paid plans with a pooled credit allowance; do not put AI actions on every card enter event for a busy intake project or you will burn the pool. Standard Rules keep running when AI credits are empty.

Troubleshooting

SymptomLikely cause
Rule never firesTrigger is project-scoped and the task was created elsewhere first
Fires twiceTwo rules share overlapping triggers
Slack silentIntegration disconnected; re-auth the rule owner
Date rule “missed” midnightAsana evaluates due-date rules on its schedule — do not assume exact local midnight
Someone broke itToo many editors; lock Customize permissions on sensitive projects
Office desk with computer
Keep AI Studio off high-volume Rules paths.

Common questions

Can I build Asana automation on the free plan?

Only a limited My Tasks preset. Custom Rules need Starter or higher.

Is there a monthly automation limit?

Not for standard Rules on paid plans — Asana lists them as unlimited. AI Studio credits are the metered piece.

Do Rules work with custom fields?

Yes. Field-changed triggers and set-field actions are how most routing works. Build the fields first.

When should I buy Advanced instead of Starter?

When you need Bundles to push one process into many projects, script actions, or Advanced-only workflow pieces (branching forms, approvals) that your Rules depend on.

Checked against asana.com/pricing and Asana workflow automation materials on October 13, 2026. Folded accurate plan/AI Studio notes from former post 3384.
