ClickUp Time Tracking Not Working? Fix the Real Causes
Most ClickUp time tracking failures are not bugs. The Time Tracking ClickApp is off for that Space, the account has run out of its plan’s time tracking uses, or the person tracking is a guest without permission. Check those three before touching the browser cache or reinstalling the app.
What follows works through the failure modes in the order they actually occur, including the plan-gating detail ClickUp keeps in a separate help article from the feature docs. If you are building time tracking from scratch rather than repairing it, the complete ClickUp time tracking setup guide covers the configuration side.
Confirm the ClickApp is on for the Space you are actually in
Time tracking is a ClickApp, and ClickApps can be enabled Workspace-wide or for a hand-picked list of Spaces. That second option causes more confusion than anything else on this page: the timer works in the Space where it was tested and is simply absent from the Space the team uses every day.
Only an owner or admin can change it. A member with full edit permissions on the task still cannot turn it on, and neither can a guest.
- Open the App Center.
- From the App Center’s left sidebar, click All ClickApps.
- Browse or search for the Time Tracking ClickApp.
- Click the toggle to activate Time Tracking.
- Open the dropdown beside the toggle and check every Space that needs a timer. This is the step people skip.
- If you bill clients, decide now whether to switch on Default new time entries to billable. The label is precise: it governs new entries.
Rollup is a separate ClickApp with its own toggle in the same list. If a parent task shows less time than the sum of its subtasks, activate Time Tracking Rollup. ClickUp’s documented behaviour is that a task with 1 hour tracked and a subtask with 30 minutes tracked displays 1 hour 30 minutes on the parent. One caveat from that same page: when List view is set to show subtasks separately, tasks will not include rolled-up time estimates.
Match the symptom to the cause
| Symptom | Likely cause | Fix |
|---|---|---|
| No timer anywhere on the task | Time Tracking ClickApp is off for that Space | Owner or admin activates it per Space in the App Center |
| Timer missing in List, Table, Board or Gantt | The time tracked field is not shown in that view | Add the field, or right-click the task and choose Start timer |
| No progress bar beside tracked time | Time Estimate ClickApp is off, or the task has no estimate | Enable the ClickApp and set an estimate |
| Description, tag or billable toggle stops accepting input | Advanced time tracking use limit reached for the plan | Check the limits table below |
| Timer refuses to start without a task selected | Tracking time with no task is Business Plan and above | Select a task, or move up a plan |
| A guest cannot track time | Time tracking not enabled for that guest, or they lack edit permission on the task | Owner or admin adjusts guest time tracking access |
| You cannot log time on a teammate’s behalf | Only owners and admins can create or edit entries for other users | Escalate, or have the person log it themselves |
| Integration timer runs but ClickUp shows nothing | ClickApp not activated, Chrome-extension integration used in the desktop app, or the user is a guest or limited member | Activate the ClickApp and use the web app |
| API call returns an empty array | Endpoint defaults to the last 30 days and the authenticated user only | Pass explicit dates and an assignee |
What looks like a broken timer is often a usage cap
This is the part that surprises people. ClickUp splits time tracking into two tiers, and the second tier is metered by number of uses rather than switched off outright. So the timer starts, the entry saves, and then one day the description field or the billable toggle quietly stops working. Nothing is broken. The allowance is spent.
These figures come from ClickUp’s Time Tracking feature availability and limits page:
| Capability | Free Forever | Unlimited | Business | Business Plus and Enterprise* |
|---|---|---|---|---|
| Create, edit and delete time entries | 100 uses | Unlimited | Unlimited | Unlimited |
| Advanced time tracking: entries from Timesheets, entries for other users, descriptions, tags, billable flags, time not tied to a task | 40 uses | 40 uses | 100 uses | Unlimited |
| Timesheet approvals: submitting, requesting changes, approving | No | No | 100 uses | Yes |
| View Time Tracked by Other Users custom role permission | No | No | No | Yes |
* ClickUp’s help centre groups Business Plus with Enterprise in that table. Business Plus does not appear on ClickUp’s public pricing page, which lists Free Forever, Unlimited at $7 per user per month billed yearly ($10 billed monthly), Business at $12 billed yearly ($19 billed monthly), and Enterprise. If a Business Plus tier is relevant to you, ask ClickUp directly rather than relying on published pricing.
Two footnotes on that page catch teams out. Time logged through a time tracking integration counts towards the same limits, and so do entries created by ClickUp Brain and Super Agents. A team piping Toggl or Harvest into a Free Workspace can exhaust the allowance without anyone ever clicking a ClickUp timer.
ClickUp also carries a caveat on that page stating that timesheet and timesheet approvals features and plan availability are subject to change, and that these features can be tried with unlimited usage on any plan for a limited time. Treat the approvals row as the least stable line in the table and re-check it before you build a billing process on top of it.
The button is missing from your view, not from your Workspace
Task view shows the Track Time field as soon as the ClickApp is on. Every other view needs the time tracked field added first. This is a display setting, not a permission, which is why one person swears the timer works and another swears it does not.
- In List or Table view, add the time tracked field, then click the start button on the row.
- In Board view, show the time tracked field on cards, then click start on the card.
- In Gantt view, add the field and click the clock icon next to the task.
- From List, Board, Gantt or Calendar, right-click the task and select Start timer. Fastest route when you would rather not configure columns.
- To keep a timer available everywhere, pin Tracked Time to the toolbar from the Quick Action menu, then click the time tracking icon to open the Track Time modal.
If the progress bar that normally sits beside tracked time has vanished, that is a different ClickApp. ClickUp’s documentation states the bar only displays when the Time Estimate ClickApp is enabled and the task has an estimate set.
Entries save, but to the wrong person or the wrong day
The Track Time modal defaults to your name and to now. Both are editable, but only within your role.
- In the upper-left of the task, click the Track Time field.
- Enter the duration. ClickUp accepts
2 hours, 10 minutes, 30 seconds,2h, 10m, 30s, and2:10:30. Manual entries that land as zero are almost always a formatting problem. - To log for someone else, click your name and select a user from the dropdown. Only owners and admins get a functional dropdown here.
- Select the date and time range.
- Mark the entry billable or non-billable, add a description, add time tracking tags.
- Click Save.
To correct a timer that is already running, click the running timer in the toolbar, click the start time, and enter a new one. The timer updates without stopping, which is more useful than the stop-delete-recreate cycle most people resort to.
Entries that have gone missing
Deleted time entries land in the Trash, and ClickUp keeps Trash items recoverable for 30 days before permanent deletion. Before assuming data loss, work through this order.
- Confirm whose entries you are looking at. Views and reports scope to your own time unless your role permits otherwise.
- Check your role. Viewing time tracked by other users is a custom role permission that ClickUp’s limits table restricts to its highest tier.
- Open the Trash and look for entries deleted in the last 30 days.
- Check whether an owner or admin edited the entry. They can edit and delete other people’s entries; members cannot.
- If the entry originated in an integration, verify it in that tool before blaming ClickUp.
Reports that look wrong rather than empty are usually a Dashboard filter problem instead. Time Tracking cards and custom cards using time tracked as a y-axis both carry their own scoping, covered in the ClickUp Dashboards setup guide.
Integration timers that never reach ClickUp
ClickUp lists native time tracking integrations with Clockify, Everhour, Harvest, Hubstaff, Memtime, PomoDone, TimeCamp, Time Doctor, Timely, Timeneye, TMetric and Toggl. Three documented constraints explain most sync failures.
- An owner or admin must activate the Time Tracking ClickApp before any integration can be used. The integration will connect happily and record nothing.
- Integrations that use a Google Chrome extension only work with the ClickUp web application. Everhour, PomoDone and TimeCamp are documented as Chrome extension integrations, so teams living in the ClickUp desktop app will see those timers go nowhere.
- Guests and limited members cannot track time using integrations at all, regardless of task permissions.
If the connection survives those three checks and data still stalls, the fault is usually on the other side of the handshake. The same diagnostic order applies to ClickUp integrations that stop syncing generally.
When the API or an automation returns nothing
Pulling time data into a script or an external dashboard and getting empty results is nearly always the endpoint’s defaults rather than missing data. ClickUp’s reference for getting time entries within a date range documents four behaviours worth knowing before you debug anything else.
- By default the endpoint returns time entries from the last 30 days, created by the authenticated user only. Pass explicit
start_dateandend_datevalues in Unix milliseconds. - To retrieve entries for other people you must include the
assigneequery parameter, and ClickUp notes that only Workspace owners and admins have access to do this. A script running on a member’s token returns that member’s time and nothing more. - Only one location filter can be included per call.
space_id,folder_id,list_idandtask_idare mutually exclusive. - A time entry with a negative duration is not corrupt. ClickUp uses it to signal that the timer is currently running for that user.
One more trap: ClickUp’s v2 reference keeps a separate Time Tracking (Legacy) group alongside the current Time Tracking group. Sample code copied from older tutorials frequently points at the legacy endpoints, which behave differently. Check which group your URLs belong to.
There is no dedicated time-tracking Automation action to hunt for, either. ClickUp’s documented route is to add time tracking instructions to a Super Agent and then trigger it with the Launch Super Agent Automation action. If that chain is silent, debug the Automation first using the same approach as any ClickUp Automation that has stopped running.
A configuration pass that stops this recurring
Most repeat incidents come from a Workspace that was never configured deliberately in the first place. Spend twenty minutes on this and the tickets mostly stop.
- Activate Time Tracking at the Workspace level rather than per Space, unless you have a specific reason not to.
- Activate Time Tracking Rollup at the same time so parent-task totals are never misleading.
- Set Default new time entries to billable to match how you actually invoice, and communicate the choice before anyone logs a week of work under the wrong flag.
- Add the time tracked field to the default List and Board views your team uses daily, not just to your own saved views.
- Check your plan’s advanced time tracking allowance against how many people need descriptions, tags and billable flags. If the number of users exceeds the allowance, that is a budgeting decision, not a support ticket.
- Decide who needs the View Time Tracked by Other Users permission and confirm your plan grants it before promising a manager a team-wide time report.
Frequently asked questions
Does ClickUp time tracking take screenshots?
No. ClickUp’s help centre states plainly that ClickUp time tracking does not take screenshots. If your team requires screenshot-based monitoring you need a third-party tool; ClickUp’s own integration documentation points to Time Doctor as an option that can capture screenshots of work.
Can I start a timer on my laptop and stop it on my phone?
Yes. ClickUp documents that time tracking works across the web, desktop and mobile apps, and that you can start a timer on your computer and stop it from your phone or the reverse. If the running timer is not visible on mobile, confirm you are signed into the same Workspace.
Why can’t I start a timer without picking a task?
Tracking time that is not attached to a task is plan-gated. ClickUp’s help centre states that Workspaces on the Business Plan and above can track time without a task, and the Track Time modal only makes task selection optional at that level. Below it, select a task first.
How do I recover a deleted time entry?
Check the Trash. ClickUp keeps deleted items recoverable there for 30 days before permanent deletion, and time entries are included. Past 30 days there is no self-service restore. If an admin deleted the entry rather than you, the API’s time entry history endpoint can show what changed.
Does time logged through Toggl or Harvest count against ClickUp’s limits?
Yes. ClickUp’s limits page states that use of time tracking integrations counts towards time tracking use limits, and that entries created by ClickUp Brain and Super Agents count towards the same totals. A Free Workspace can exhaust its allowance without anyone starting a native ClickUp timer.
