Airtable vs Smartsheet 2026: Relational Database or Project Spreadsheet? Costs, Limits and Who Each Fits

Smartsheet and Airtable both look like spreadsheets, but they’re built for different jobs. Smartsheet is a project spreadsheet: rows are tasks with dates, dependencies, owners and approvals, and it rolls them up into Gantt charts, dashboards and portfolio reports. Airtable is a relational database: rows are records that link to records in other tables, and you build forms, interfaces and automations around them.

On price, Smartsheet is cheaper per seat: $9 a member per month on Pro and $19 on Business, billed yearly, against Airtable’s $20 on Team and $45 on Business. Both charge for internal people who edit data and give free access to people who only view. (On Airtable Team, commenters are billed too.)

Pricing compared (2026)

The free-seat rules are similar for internal staff. On Smartsheet, a Contributor can view, comment and add attachments but can’t edit cells or create sheets. Anyone in your company who changes data needs a Member seat. Smartsheet’s difference is external Guests on Business: clients and contractors outside your email domain are free and can be given editor permission on the sheets you share with them. Airtable bills any editor, internal or external.

Smartsheet’s Pro plan caps out at 10 members, so a growing team moves to Business sooner than it might expect.

How each one handles data

Smartsheet stores data in sheets. Each sheet can hold up to 20,000 rows, 400 columns and 500,000 cells, whichever comes first, according to Smartsheet’s system limits. A sheet with 50 columns therefore tops out at 10,000 rows. You connect sheets with cross-sheet formulas, cell links and reports that pull rows from many sheets. Enterprise plans can opt into large-scale sheets of up to 50,000 rows.

Airtable stores data in bases made of linked tables. Limits are per base: 50,000 records on Team, 125,000 on Business. Linked records, lookups and rollups are central to how it works, so a single order can link to a customer, a set of products and a shipment without copying data.

In practice, if your data has relationships (one client, many projects, many deliverables, many assets), Airtable models it cleanly. If your data is a list of tasks with dates and owners, Smartsheet’s sheet model is simpler and better suited to it.

Project management features

Here Smartsheet is the stronger tool.

• Gantt and dependencies. Every Smartsheet plan has Gantt view with predecessors, critical path and dependencies. Baselines come with Business. Our Smartsheet Gantt chart guide shows the setup.
• Workload and resources. Business adds workload tracking and timeline view. Full resource management is an add-on.
• Approvals and update requests. Automations can send approval requests and update requests to anyone by email, so people without a seat can still approve or update a row.
• Proofing. Image and video proofing is on Business and up.
• Portfolios. Enterprise adds portfolios and scenario planning, and Advanced Work Management adds Control Center for rolling out standardized projects at scale.

Airtable has timeline and Gantt views and can track projects well, but it has no workload view or project baselines, and nothing like Control Center.

Building apps and automations

Here Airtable is the stronger tool.

• Automation volume. Airtable Team includes 25,000 automation runs a month. Smartsheet Pro includes 250 automated triggers a month; Business is unlimited.
• Interfaces. Airtable’s Interface Designer lets you build role-specific screens with buttons, filters and record detail pages, which makes a base work like an internal app. Smartsheet’s closest equivalents are dashboards and, on Enterprise, WorkApps.
• AI. Airtable gives each paid editor monthly AI credits, pooled across the workspace, for AI fields, agents and its app builder. Smartsheet includes AI tools such as formula generation, data analysis and an AI dashboard builder on every plan, and Business adds connections to external AI assistants such as ChatGPT, Claude, Copilot and Gemini.

Which should you choose?

Choose Smartsheet if: – Your work is projects with dates, dependencies and owners, and you need Gantt charts, baselines and status reporting. – You work with many external partners. Free Guests on Business can edit shared sheets. – Your team already thinks in Excel and wants something familiar.

Choose Airtable if: – Your data is relational: content with assets, inventory with suppliers, CRM-style tracking, request intake with linked records. – You want to build interfaces for different roles, or run thousands of automations a month on the entry plan. – You need a real free plan to start with.
