Smartsheet Risk Management 2026: Build a Risk Register That Scores Itself, Plus What Smartsheet AI Can (and Can’t) Do Yet
Smartsheet does not have a dedicated “risk module”. What it has is better for most teams: a grid you can turn into a risk register in under an hour, formulas that score each risk automatically, automations that chase owners, and dashboards that roll everything up. On top of that, Smartsheet’s AI features can now answer questions like “which high risks have no mitigation plan?” on every paid plan.
This guide walks through the build, then explains which AI features are available on which plan as of October 2026. Some features you may have read about, notably Smart Agents, are not released yet.
What a good risk register needs
Before building anything, agree on four rules with your team. They matter more than the tool.
- One row per risk, one owner per risk. Shared ownership means no ownership.
- A simple scoring scale. Probability and impact on a 1 to 5 scale is enough for almost every project.
- Bands that trigger action. A score means nothing unless “High” changes how often you review it.
- A review date on every open risk. Registers die when nobody revisits them.
Step 1: Create the sheet and columns
Create a new sheet (or start from Smartsheet’s risk register template in the Solution Center and adjust it). Use these columns:

Restricting Probability and Impact to list values matters: one person typing “high” instead of 4 breaks every formula downstream.
Step 2: Add formulas that score each risk
Smartsheet formulas reference cells in the same row with @row. Convert Score, Rating and RAG to column formulas (right-click a cell, then Convert to Column Formula) so every new risk is scored automatically.

Column names with spaces need square brackets, as in [Next review]@row. If a formula returns #UNPARSEABLE, a missing bracket or a curly quote is the usual cause; our Smartsheet formulas troubleshooting guide covers the common errors.
Finish with conditional formatting: shade the whole row light red when Rating is High, and grey it out when Status is Closed.
Step 3: Automate the follow-up
Automations are what make a register live. Open Automation in the sheet’s top menu and add these four workflows:
- Escalate new High risks. Trigger: when Rating changes to High. Action: alert the owner and the project manager.
- Review reminders. Trigger: date-based, 2 days before Next review. Action: send an update request to the Owner asking for Probability, Impact, Mitigation and Status.
- Weekly digest. Trigger: every Monday at 9:00. Condition: Rating is High and Status is not Closed. Action: alert the sponsor.
- Closure sign-off. Trigger: when Status changes to Closed. Action: request approval from the project manager.
Check your plan’s limits before you add many rules. Smartsheet Pro includes 250 automations a month; Business and Enterprise are unlimited. Step 4: Build a risk dashboard
A dashboard is what your sponsor will actually look at. Useful widgets:
- Metric widgets: open High risks, open risks with no mitigation, overdue reviews (use
COUNTIFSin a summary sheet, for example=COUNTIFS(Rating:Rating, "High", Status:Status, "<>Closed")). - Chart: open risks by Category, stacked by Rating.
- Report widget: a report filtered to High risks, showing Risk, Owner, Mitigation and Next review.

Where Smartsheet AI helps with risk today
Smartsheet’s AI features have changed a lot since they were announced in 2025, and plan availability is the part most articles get wrong. According to Smartsheet’s AI management overview, this is what each plan includes as of October 2026:
On every paid plan (Pro, Business, Enterprise)
- Smart Assist, the built-in AI assistant, can answer questions about your sheets, summarize them, flag risks and make updates. Useful prompts for a register: “List open High risks without a mitigation”, “Which owners have overdue reviews?”, “Summarize what changed in this sheet since last Monday.”
- Smart Columns run an AI operation on every row automatically. A categorize column can sort free-text risk descriptions into your categories, which helps when many people log risks from a form.
- AI dashboard builder creates a dashboard with up to ten charts from a text prompt.
- Intelligent form fill lets people complete a risk intake form by voice or by pasting text.
Enterprise only
- Generate formulas turns a plain-English request (“score each row by multiplying probability and impact”) into a formula.
- Analyze data produces charts and metrics from a prompt.
- Text and summaries summarizes or analyzes text in individual cells.
Business and Enterprise
- Connectors for Claude, ChatGPT, Gemini and Microsoft Copilot via the Smartsheet MCP Server, so you can query and update the register from the AI assistant you already use. Setup is covered in our Smartsheet Claude connector guide.
Not released yet
- Smart Agents, which Smartsheet describes as agents that will monitor programs continuously and recommend or take next steps with your approval, are still in development. Smartsheet’s AI page invites customers to apply for an early adopter program. Treat any guide that shows you how to configure them today with caution. System admins can switch each AI capability on or off for the whole plan in Admin Center, under AI Management. Data you work with in Smartsheet AI is not used to train third-party models, according to Smartsheet.

Common mistakes
- Scoring without acting. If a High rating does not change the review cadence, drop the scoring and keep a simple list.
- Too many categories. Seven is plenty. More than that and people pick “Other”.
- Closing risks silently. Use the approval workflow so someone confirms the risk has really gone.
- Letting AI decide. Smart Assist is good at finding gaps, but probability and impact are judgment calls for the owner.

Does Smartsheet have a risk management feature?
Not as a separate module. Teams build risk registers in sheets, usually from a template, and use formulas, automations, reports and dashboards to score and track risks. AI features such as Smart Assist can then answer questions about the register.
Which Smartsheet plan includes AI?
Smart Assist, Smart Columns, the AI dashboard builder and intelligent form fill are available on Pro, Business and Enterprise. Generate formulas, Analyze data and Text and summaries are Enterprise-only. AI assistant connectors require Business or Enterprise.
Are Smartsheet Smart Agents available?
Not yet. As of October 2026, Smartsheet lists Smart Agents as in development, with an early adopter program open for applications.
How do I calculate a risk score in Smartsheet?
Add Probability and Impact columns with 1 to 5 values, then use a column formula such as =VALUE(Probability@row) * VALUE(Impact@row). A second formula can turn the score into a High, Medium or Low rating.
Can I see risks across multiple projects?
